We are seeking someone with accounting background and strong customer service skills to assist our company with bookkeeping, accounts payable and accounts receivable.

Overall, reconcile credit cards and bank accounts, classify and categorize expenses and enter expense transactions into accounting software. Invoice customers with terms, A/R collections, send monthly accounts report/summary. Enter invoices for payment, pay invoices and document shipping fees and charges. Create packing slips, review projects in CRM for proper payment and coordinate with suppliers for payment.

Location note:  This is available as a remote or local to Norfolk, Virginia.
Expected weekly hours:  Flexible – 10 to 20 hours a week depending on workload

Breakdown of tasks:

  • Proficiency with QuickBooks Online and MS office software.
  • Manage the Accounts Payable and Receivable process.
  • Record day to day financial transactions including purchases, invoicing and payments in CRM
  • Assist with payroll processing.
  • Maintain accurate records of financial transactions.
  • Ensure that the necessary phone calls are made to collect past due AR.
  • Enter payroll data into Gusto platform, document commissions and updated books.
  • Prepare and distribute W-2 and 1099s with payroll provider after the end of the year in a timely manner.
  • Maintain the Employee Handbook policy.
  • Ensure that all new employees are familiar with the Employee Handbook and sign an acknowledgement to that effect and ensure that it is placed in the employee’s file.
  • Ensure that all employees have completed the I-9 form and the appropriate information is placed in the employee’s file.
  • Maintain and keep up to date all personnel files, including evaluations and disciplinary actions for current and former employees.
  • Maintains up-to-date insurance records and generates any reports that may be required. Under no circumstances commit the company to any costs that do not have additional revenue, without prior written approval from the President.
  • Other duties/responsibilities that may be assigned by management from time to time.

Desired skill sets:

  • Strong background in accounting principles excellent attention to detail, experience dealing with customers and looking for opportunities to grow within the company
  • Bachelor’s degree in Accounting or related field
  • Proven experience as a Bookkeeper or similar role
  • Proficiency in accounting software (e.g., QuickBooks)
  • Strong analytical skills and the ability to interpret financial data
  • Effective communication skills, both written and verbal
